Where can I find, review and select programs?
OCM BOCES has a large directory that can be found at aie.educloud.org. Some of the program descriptions include video links for your viewing.
Can I request an artist or program not listed in the directory?
Yes. Please complete and submit a program request form. BOCES will connect with the artist, presenter or vendor and sign a contract on behalf of the district. Districts should not sign these contracts.
How early should I put in a request for it to be processed in time?
Please submit your requests at least 6 weeks prior to the start of an event. Since every event is approved individually, we need to confirm that the requested event or program meets state guidelines for the CoSer. We also need adequate time to finalize all contract and billing pieces.
When do vendors get paid?
Can they be paid ahead of time?
When possible, OCM BOCES pays vendors within 30 days of the event. OCM BOCES can assist districts with pre-paying if they are required by a vendor. For example, ticketed events, music festivals and events requiring a deposit would fall under this category. We are not able to reimburse districts if they pre-pay vendors.
Can we pay for transportation to events or food through BOCES Arts in Education?
Food, transportation, room and board, and taxes are not eligible for BOCES aid and cannot be contracted for using Arts in Ed monies.
How do I know if my request has been approved?
After all levels of approval are completed, OCM BOCES will send the person who requested the event a confirmation email.
