Automated Substitute Call-In Service


In March 2005, OCM BOCES began offering the Automated Substitute Call-In Service as an efficient and cost-effective alternative for arranging substitutes. We started with seven school districts and are now currently servicing 17 school districts. The cost to districts decreased by approximately 30 percent within the first six years of the program and the absence fill rate for the 2009-2010 school year was 95.3 percent.

 

The system employs the latest technology to provide the best-qualified substitute for an absence or vacancy by using custom set parameters based on individual district needs.

 

Employees can create absences and specify/prearrange a substitute at any time. The system will instantaneously create a list of the best-qualified substitute based on set parameters and call those substitutes during the next call-out period.

How to Register

1. Dial: 315-433-2640 for the Automated Subservice Call-in Service.
2. Enter your Access ID followed by the star (*) key
3. Enter your Access ID (AGAIN) followed by the star (*) key [Prompt is asking for the PIN #. Entering Access # the second time, is for registration and to create your PIN. This is a one-time only registration]
4. Record your name followed by the star (*) key

  • PRESS 1 to Accept
  • PRESS 2 to Re-enter
  • PRESS 9 to Exit and hang-up
5. Hear your callback telephone number
  • PRESS 1 to Modify your callback number
  • PRESS 1 if Correct
  • PRESS 2 to Re-enter
  • PRESS 9 to Exit to next step

6. Create a PIN at least four (4) digits, no more than eleven (11), in length followed by the star (*) key

  • PRESS 1 if Correct
  • PRESS 2 to Re-enter
  • PRESS 9 to Exit and hang-up

Registration complete. Save your Access ID and PIN # for future use.


PIN # Reminder

The “Forgot your PIN?” link supports users who want to log into the system, but have forgotten their PIN. When this link is selected, the system displays the PIN Reminder Request page. The user’s Access ID and the security code being displayed must be entered on this page.

Note: You must be registered and have your email address entered in your profile on the System to use this option.

If the email information provided by the user is valid, the system sends the user an email containing their PIN. This information will enable the user to successfully log into the system. The email is sent to the email address in the user’s profile. If the submitted information is invalid, the system will return an error message. If you receive an error message, contact the System Administrator at subservice@ocmboces.org.


E-Mail Notices

E-mails are automatically generated to provide notification on jobs and substitute assignments. Employees can receive email notifications when a job is created, modified or cancelled. Substitutes can receive email notifications for job assignments, assignment cancellation, and assignment reminders. These emails will contain job number, job location, classification and start and end dates. Administrators can receive reports and data via e-mail.

Want to Substitute?

Persons wishing to substitute in participating districts must apply directly with that district. All districts interview and hire potential candidates applying for substitute positions within their district. Once hired and approved by the District Board of Education, information is submitted to the Automated Substitute Call-In System, a profile is created and information will be distributed by the District to the Substitute.
